Privacy Policy

Under  the Data Protection Act 1998 and the General Data Protection Regulation  2016 (the data protection laws), we are required to explain to you why  we are asking for information about you, how we intend to use the  information you provide and whether we will share this with anyone else.  Please note that we do not have a Data Protection Officer. What information do we collect from you? 

Some  of the information that you provide to us is required for us to provide  you with our basic services. Without this information you will not be  able to join the club because we will be unable to obtain student  insurance for you and we will not have sufficient contact details to use  in the event of an emergency. The information we collect from you  includes: 

• personal details (such as name, gender and date of birth);
• contact details (such as your address, telephone number and email address and details of next of kin and your GP);
• personal information such as details of any health conditions. 

This information will be collected from you when completing your licence application form. 

Why do we collect this information? 

The information which you provide to us will be used for the following purposes:

• To  apply for student insurance (your licence) via the Amateur Martial  Association (AMA). The AMA may provide your details (name and date of  birth) to their third party insurers. For information how the AMA handle  your details you can contact the AMA General Secretary 169 Cotswold  Crescent, Walshaw Park, Bury, Lancashire BL8 1QL.
• To contact your next of kin, or GP in the case of an accident or emergency. 
• To provide the emergency services with your details in the event of an accident or emergency. 
• To contact you in the event of a lesson alteration or club event. 

Who might we share this information with? 

• We may use your name and a photograph in a press release or social media blog.
• In  limited circumstances we may use your information for a purpose other  than those set out in this policy. If we intend to do so, we will  provide you with information relating to that other purpose before using  it for the new purpose. 

What do we do with your information? 

• The  information that you provide will be stored securely on our electronic  and hard copy filing systems. The information is limited to that  contained within your licence application form and any other such  information you may provide during the course of your membership. 

How long do we keep hold of your information? 

• We  will store personal data which you provide to us throughout the  duration of your membership, or for a maximum period of 6 years. Any  information which is destroyed will be done so confidentially. 

How can I access the information you hold about me?

If you notice any errors in your personal  data please let us know so that we can correct them. You are entitled to  request access to your personal information (commonly known as a "data  subject access request"). You are entitled to request erasure of your  personal information, but without access to your basic contact details  we would have to terminate your membership. 

You  also have the right to contact the Information Commissioner's Office  (the "ICO") if you are not satisfied with the way we use your  information.
